Shipping

Where we ship

We ship within the European Union only. We have suspended shipments to destinations outside the EU, including Norway and the United Kingdom, until further notice. Deliveries are handled by GLS and, for some destinations, UPS. If your country is in the EU but does not appear at checkout, write to help@airsoftmania.eu and we will quote for it where we are legally able to ship.

Orders are dispatched either from our own stock or directly from the warehouses of our suppliers in the European Union. Shipment monitoring is coordinated on our behalf by Unity sp. z o.o., established in Poland; VIKKIN S.R.L.S. remains the seller and the party responsible for your order.

Shipping costs and delivery times

The exact shipping cost for your basket and address is always shown at checkout before you are asked to pay. The table below gives our standard starting rates and the order value above which shipping is free. Some items ship from a different warehouse and carry their own rate, and orders combining items from more than one warehouse may cost more than the figure shown here — the checkout always shows the amount you will actually pay.

Order processing

Orders are normally processed within 1 to 2 working days. Delivery by the carrier then takes 3 to 5 working days within the EU. All the times given on this page are working days: weekends and public holidays are not counted. If an order cannot be handled within the expected time we will contact you. Every shipment is traceable; you will receive a tracking number and status updates.

Some orders take longer because work is carried out on the replica before dispatch:

Country Reason Additional time
Germany Power reduction to 0.5 J, or semi-automatic only +4-5 working days
Italy Optional power reduction to 1 J +4-5 working days
Germany, Italy, Ireland Power reduction on models that require dismantling the gearbox or a non-standard part up to +15 working days

Power reduction of airsoft replicas

Where possible we adjust replicas to comply with the law of the destination country: 0.5 J for Germany, 1 J for Italy and Ireland. On most models the work consists of changing the spring and takes between 1 and 5 working days depending on workload.

Some replicas take considerably longer. On certain models — many Tokyo Marui platforms, and replicas whose internal design requires the gearbox to be opened or a specific non-standard part to be sourced — the work can take up to 15 working days, weekends and public holidays excluded. If your order includes one of these, we will tell you as soon as we have it in hand, and you are free to cancel it at that point for a full refund.

A replica modified at your request is made to your specifications, so the right of withdrawal does not apply to it. Your statutory guarantee is unaffected: if the product is defective you can still return it. See our Returns and refunds policy.

Country-specific requirements

Netherlands

Under the Dutch Weapons and Ammunition Act (Wet wapens en munitie), airsoft replicas fall under category I and may only be acquired and held by people who are at least 18 years old and covered by an exemption. There is more than one way to be covered:

  • Membership of an airsoft association recognised by the Minister of Justice and Security, evidenced by a membership card. Two associations are currently recognised: the Nederlandse Airsoft Belangen Vereniging (NABV) and the Airsoft Combat Association (ACA).
  • An individual dispensation (ontheffing) granted by the Minister on application.

Before we dispatch an airsoft replica to a Dutch address we ask you to send us a copy of one of the following: your NABV membership card, your ACA membership card, or your ontheffing. Any of the three is equally valid. You can send it through our returns and support portal or by replying to your order confirmation. We hold the copy only until the order is complete, and we cannot dispatch the replica without it.

Two points worth knowing before you order. Prospective members and guests of a recognised association benefit from a narrower exemption, which does not clearly extend to acquiring your own replica — if you are not yet a full member, check with your association first. And the Dutch definition of an airsoft device sets a ceiling of 3.5 joules: we cannot ship replicas above that output to the Netherlands.

Malta

Orders for Malta cannot currently be shipped directly from our European warehouse. They are routed through our Italian premises and forwarded, which takes about 10 to 12 working days. All shipments to Malta are fully insured.

Checking your order on arrival

Please check the goods when they arrive. Parcels are packed securely, but if anything is damaged, missing or not what you ordered, contact help@airsoftmania.eu as soon as possible with photographs. See our Returns and refunds policy for what happens next.

Dual-use and export control policy

Airsoftmania.eu complies with applicable export control and sanctions law. This section explains how we handle products that may be classified as dual-use items — goods, software and technology usable for both civilian and military purposes.

Scope

This policy applies to any product, software, technical data or documentation we supply that is listed under, or may be caught by, export control rules, including catch-all situations. As we currently ship within the European Union only, it applies in practice to intra-EU transfers of particularly sensitive controlled items, and would apply to exports outside the EU should we resume them.

Legal framework

Our compliance is based primarily on Regulation (EU) 2021/821, which establishes the Union regime for the control of exports, brokering, transit, technical assistance and transfer of dual-use items. Annex I identifies items generally requiring authorisation for export outside the EU; Annex IV lists particularly sensitive items that may require authorisation even for intra-EU transfers. Authorisation may also be required under catch-all controls where there are concerns about prohibited end-uses. We also comply with EU restrictive measures, including arms embargoes and listings.

How we apply it

  • We may request additional information before accepting or shipping an order: end-user details, intended end-use, destination, intermediaries and supporting documents.
  • We may refuse, cancel or refund any order where compliance cannot be confirmed, where a licence is denied or unavailable, or where there are indications of a risk of diversion or prohibited use.
  • We do not support circumvention, including misleading routing, false end-user data, or split shipments intended to bypass controls.
  • We screen products for classification, assess end-users and end-uses, screen parties and destinations against applicable restrictive measures, apply for authorisations where required, keep compliance records, and train the staff involved.

Licences

Where an authorisation is required, shipment takes place only after it has been obtained and all its conditions met. Licences are issued by the competent authority of the relevant Member State, normally where the exporter is established. Processing times vary and orders may be held pending a decision. If licensing is not feasible or is refused, the order is cancelled and refunded in full.

Your responsibilities

You must give accurate and complete information about the end-user, the destination and the intended end-use; you must not re-export, transfer or resell controlled items in breach of applicable export control and sanctions law; and you must comply with any licence conditions communicated to you.

For export control questions, contact help@airsoftmania.eu before ordering. This section is provided for transparency and does not constitute legal advice.
